Cedar Pond Farms (“we,” “us”) is a family-owned farm, wedding venue, and agritourism business in New Market, Tennessee, operated by Shawn and Priscilla Wilmoth. This policy covers cedarpondfarms.com and our booking and guest tools. We’ve tried to write it the way we’d explain it in person — if anything here is unclear, call us and ask.

The short version: we collect what we need to plan your event, host your stay, and stay in touch — nothing more. We do not sell your personal information. You can ask us to delete it at any time.

1. Information You Give Us

Inquiry & pricing forms — your name, email, phone, event date, guest count, what you’re planning, how you heard about us, and whether you’d like farm news.
Your client portal — contact details, guest count, event preferences and add-on interests, special notes (which may include things like food allergies or accessibility needs), messages to our team, and any photos or files you upload.
Waivers — if you visit the farm or attend an event, our Waiver & Release of Liability collects your name, signature, and date.
Payments — billing details you enter at checkout (see §5).

2. Information Collected Automatically

When you browse the site we collect standard technical information (pages viewed, approximate location from your IP address, browser and device type, and how you arrived) using the cookies and identifiers below.

Cookies and similar technologies we use

`cpfSid` (browser storage, not a cookie)	Cedar Pond Farms	A random number we generate so we can see where people get stuck on the way to a form. It holds no name, email, or personal detail.
`fareharbor-uuid`	FareHarbor	Keeps your place in the experience-booking widget.

You can clear or block cookies in your browser settings at any time; the site still works without them. Google also offers a Google Analytics opt-out add-on.

3. Information From Booking Platforms

If you book through Airbnb, VRBO, Booking.com, or our experience booking system, those platforms pass us the reservation details and contact information needed to host you — name, email, phone, dates, and guest count. If you sign on to our guest WiFi, you give us your name and email through that signup.

4. How We Use Your Information

To answer your inquiry, quote your event, and plan and host your wedding, stay, or experience.
To send your pricing, contracts, waivers, invoices, and payment reminders.
To send farm news and offers — only if you asked us to. Every one of those emails has an unsubscribe link, and it works immediately.
To understand which pages and ads actually bring people to the farm, so we spend our marketing money sensibly.
To keep records we’re required to keep, and to protect the farm, our guests, and our animals.

5. Payments

Card payments are processed by Stripe. Your card number is entered on Stripe’s secure checkout and goes to Stripe, not to us — we never see or store your full card number. If you choose an automatic payment plan, Stripe stores your card on file with your permission and we charge scheduled installments; you can ask us to stop at any time. Our farm shop runs through Square, which handles its own payment data.

6. Who We Share It With

We do not sell your personal information. We share only what a service needs to do its job for us:

7. Photos of You at the Farm

We photograph and film life on the farm, and our Waiver & Release includes your consent for us to use your image in our marketing — social media, this website, brochures, and other advertising. If you’d rather not appear anywhere, just tell us — in person, by email, or by phone. We’ll honor it, and if a photo of you is already published we’ll take it down on request.

8. Your Choices

See it, fix it, or delete it. Email us and we’ll tell you what we hold about you, correct it, or delete it. No hoops.
Stop the emails. Use the unsubscribe link in any marketing email, or just ask us.
Opt out of tracking. Block cookies in your browser, or use the Google opt-out linked above.
Stop automatic payments. Ask us and we’ll remove your card from the schedule.

Depending on where you live, you may have additional rights over your personal information. Ask us and we’ll honor the same requests regardless of where you’re from — it’s simpler that way, and it’s how we’d want to be treated.

9. Keeping It Safe, and How Long We Keep It

The site runs over an encrypted connection, staff accounts are password-protected, and access to guest information is limited to the people who need it to do their jobs. We keep event and booking records as long as needed for our business and tax obligations, and we keep marketing contacts until you unsubscribe or ask us to remove you. No system is perfectly secure, but we treat your details like we’d want ours treated.

10. Children

We love having kids on the farm, but this website isn’t directed at children and we don’t knowingly collect information from children under 13 online. Bookings and waivers are made by a parent or guardian. If you believe a child has given us information, tell us and we’ll delete it.

11. Changes

If we change this policy we’ll update the date at the top. Material changes will be noted on this page.
